RENTAL RESERVATIONS & REFUNDS
Rental reservations are non-refundable and cannot be rescheduled.
SECURITY DEPOSIT
All rentals will require a refundable security deposit at the time of pickup, which is a charge held on your credit or debit card.
We charge your account the amount of the security deposit at the time of pick up. Once the rental is returned, we will refund your account the amount of the deposit. Please note the time it takes to post back to your bank/credit account will depend on your banking institution. Typically, 1-4 business days. Debit cards may take longer.
COI & Third Party Insurance
We require a certificate of insurance and/or a full security deposit for all rentals. No Exceptions. The deposit is charged at the time of pickup and is equal to the replacement value of the equipment (list price). Name on credit card must match name on rental contract.
REQUIRED IDENTIFICATION
In order to rent you need to have a valid Credit Card and US Driver’s License or State-issued Photo ID (Passports are not accepted).
CARDHOLDER & PICKUP
Cardholder must be present at pickup. The person picking up the rental equipment must be the same person posting the security deposit with their credit card and valid ID.
We cannot allow someone else to pick up for you, No Exceptions.
OPTIONAL DAMAGE WAIVER
What does the damage waiver cover?
Our standard Damage Waiver protection covers accidental damage to our equipment as long as you can return it to us. With our Damage Waiver, you will never owe more than 10% of the replacement cost of the damaged equipment, no matter how expensive the repair actually is.
What is not covered with the damage waiver?
Some types of damage is NOT covered by our Damage Waiver. This includes but not limited to:
- Loss or Theft
- Camera sensor damage caused by exposure to the Sun or the elements (regardless of filter used)
- Sand, dust, smoke damage
- Water / liquid damage
- Intentional damage
- Damage arising from reckless or grossly negligent use of the equipment
- Damage caused by abusive or abnormal use of the equipment
What if i choose to decline the damage waiver and the gear is damaged?
If you decline to accept the damage waiver, you will be responsible for 100% of the cost to repair or replace the item.
I changed my mind after I placed my order, can I add or remove the damage waiver?
Yes, as long as the gear has not been picked-up. Once the gear has been picked-up, you can no longer add or remove the damage waiver.
Liability of Rented Gear
From when you receive the gear until it is returned to us, you are held liable for all rented gear.
*PROCAM Rentals are not eligible for loyalty reward point accumulation or redemption.

Security Deposits / Insurance / COI Requirements and Alternatives
SECURITY DEPOSIT
If your rental’s total replacement value is under $8,000, we can secure your booking by placing a refundable security deposit on your credit card instead of requiring a separate insurance policy.
Security deposits require your physical credit card at pickup. *Name on card must match name on contract.

GET A RENTAL INSURANCE POLICY
You can get a new insurance policy - either for a specific rental or for year-round coverage through our preferred insurance providers. They offer flexible plans designed for photographers and filmmakers, making it easy to get the protection you need.
USE AN EXISTING INSURANCE (COI)
The most secure way to protect your rental is by carrying equipment rental insurance. If you already have a policy, provide your Certificate of Insurance (COI) to us for verification before picking up your gear. Insurance verification typically requires 1 business day.

Annual policies will provide coverage for 12 months, whereas short-term policies are meant for a one-time shoot or short-term project.
Camera Equipment Rental Insurance Requirements
PROCAM follows industry-standard insurance requirements to ensure your gear is fully protected. When speaking with your insurance broker, here’s exactly what they need to know:
- The policy must be an Inland Marine / Equipment Rental Insurance plan. While many reputable insurers offer this coverage, not all brokers or carriers do, so please confirm availability with them in advance.
- The policy must include coverage for theft from unattended vehicles. This ensures you’re protected if gear is stolen from a locked car, trunk, or production vehicle.
- We accept both short-term and annual policies, so you’re free to choose whichever fits your needs.
- Your insurance deductible will be processed as a credit-card charge at pickup and refunded once all equipment is returned in good condition.
Sample COI for a Rental
Here’s an example of what your Certificate of Insurance (COI) should generally include. Every insurer formats things a little differently, but this will give you a solid reference point.
This is what your insurance certificate needs to contain: An Inland Marine or Equipment Rental policy with a policy number, a start and end date, no exclusion for theft out of an unattended vehicle, and MACOMBER HADDAD LLC DBA PROCAM as the certificate holder / loss payee. The deductible will be the amount we'll hold on a credit card.
